We’re Looking For an Administrative Officer

The Scout Association of Trinidad and Tobago is seeking an energetic and capable Administrative Officer to lead the administrative office of the association. In this role, you will be responsible for processing documents, maintaining databases and liaising with the members of the association and general public.

Applications are invited from suitably qualified persons for the position of Administrative Officer, Scout Association of Trinidad and Tobago.

Duties

  • Heads the National Secretariat overseeing the administrative office staff
  • Foster and maintain positive relationships with the Association’s line ministry
  • Acting as the ambassador for the organisation in meetings with leading figures in government, private industry and with development agencies
  • Act as Secretary to the National Executive Committee
  • Responsible for filing of regulatory documents including but not limited to NPO registration
  • Advising the Executive Committee on matters of governance
  • Represent the National Scout Commissioner when required at meetings with external stakeholders
  • Responsible for the planning of non-programme related events at the national level e.g. Council meetings, Conferences etc.
  • Serve as the lead point of contact on protocol matters
  • Maintaining records of all decisions made by the National Executive
  • Coordinating the registration of Groups, young people and adult volunteers by the Secretariat and reporting monthly on such to the National Scout Commissioner or such persons as may be designated by him
  • Preparation of the Annual Report of the Association
  • Ensure that procurement of goods and services by the Secretariat is done in accordance with financial and procurement policies of ScoutsTT
  • Facilitating a culture that inspires and motivates employees while improving efficiency and maximising use of resources

Qualifications

The candidate should possess

  • At least an Associates Degree in Management or Business
  • 1-2 years of experience as an Administrative Officer or similar position would be advantageous
  • Advanced proficiency in managing documents, spreadsheets and databases
  • Ability to liaise internally and externally on Administrative matters
  • Ability to direct and manage staff
  • Detail oriented and professional
  • Working knowledge of printers, copiers, scanners and fax machines
  • Proficiency in scheduling appointments and call forwarding systems
  • Excellent written and verbal communication skills
  • Exceptional interpersonal skills
